Photography proposal template

Photography proposals are usually too short. They name a day rate and a delivery date, then leave licensing, edited image counts, and reshoot terms to be argued about later. This template makes the shoot day the smallest part of the document.

What the client is really deciding: "How many finished images do I get, and where am I allowed to use them?"

Section-by-section structure

Shoot overview

What is being photographed, where, and what the images are for. The intended use drives licensing, so establish it up front.

Shot list and coverage

Locations, setups, number of looks or products, and hours of coverage. State what happens if the schedule runs long.

Deliverables

Number of edited images, resolution and formats, delivery method, and turnaround in business days. Distinguish selects from fully retouched files.

Editing and revisions

What standard editing includes, how many retouch revisions are covered, and the rate for additional retouching.

Usage licence

Term, territory, and channels — web only, paid social, print, or unlimited. Extended or exclusive licences are priced as add-ons.

Logistics and client responsibilities

Location access, permits, models or staff, props, and a named on-site contact. Note weather contingency for outdoor work.

Investment and cancellation

Session fee, licence fee, travel and expenses, deposit, and the rescheduling or cancellation window.

How to price this work

Pricing modelBest whenTypical range
Day or half-day rateEditorial, event, and commercial shoots$500 – $4,000/day
Per image or per productEcommerce and catalogue work$15 – $150/image
Session + licence feeBrand and advertising usageSession + licence tier

Ranges are general market guidance, not a quote — price against the outcome for your client.

Mistakes to avoid

  • No image count, so 'send everything' becomes the expectation.
  • Licensing left unmentioned, so a web shoot ends up on billboards.
  • Raw files promised without thinking about your editing standard.
  • No cancellation window on a day you turned other work down for.
  • Turnaround quoted in 'a couple of weeks' instead of business days.

Frequently asked questions

Should I hand over RAW files?

Generally no. The edit is your craft and the client rarely wants the work. If they insist, price it as a separate licence, not a freebie.

How do I price usage?

Tie it to reach. Internal and web use is the base; paid media, print, and out-of-home each add a tier. Name the term in months or years.

What deposit should I take?

Enough to make the date real, commonly 25 to 50 percent, non-refundable inside the cancellation window.
