Copywriting proposal template

Copywriting proposals need one thing above all: a hard boundary on revisions. Words are easy to ask for again. This template defines the deliverable, the number of rounds, and what counts as a new project rather than a tweak.

What the client is really deciding: "Will this sound like us, and can I get changes if it doesn't?"

Section-by-section structure

The assignment

What's being written, for whom, and what it needs to make the reader do. One sentence per piece.

Deliverables and length

Each piece with a word-count range and format: 5 × 1,200-word blog posts, 1 homepage (approx. 600 words), 4 emails. Ranges, not exact counts.

Research and inputs

Interviews, existing brand guide, customer research, product access. Name how many interviews are included and how long each runs.

Voice and reference

Two or three examples the client has already approved as on-brand. Agreeing on voice before writing prevents the vaguest kind of rewrite.

Revisions

Two rounds per piece, consolidated feedback, within ten business days of delivery. Structural rewrites after approval of the outline are quoted separately.

Timeline

Outline → first draft → revisions → final. Attach dates and the client's feedback windows.

Investment

Per-project price, 50% deposit, remainder on delivery. State the rate for extra rounds and additional pieces.

Next step

Accept online, then the deposit invoice and the first interview slot.

How to price this work

Pricing modelBest whenTypical range
Per projectDefined set of piecesMost common — quote as one number
Per word or per pieceOngoing content volume$0.25 – $1.50/word
Monthly retainerRecurring content calendar$1,500 – $6,000/mo

Ranges are general market guidance, not a quote — price against the outcome for your client.

Mistakes to avoid

  • No revision cap, so one piece consumes the margin of three.
  • Quoting before seeing the brand voice or interviewing anyone.
  • Exact word counts instead of ranges, which invites nitpicking.
  • No outline approval step, so the first draft becomes the argument.
  • Charging hourly, which punishes you for writing faster than you used to.

Frequently asked questions

Should copywriters charge per word or per project?

Per project for anything with strategy attached; per word only for high-volume, low-variation content. Per project decouples your income from your typing speed.

How many revision rounds should I include?

Two, with consolidated feedback and a deadline. Add an hourly or per-round rate beyond that and state it in the proposal.

Do I need a deposit?

Yes — 50% up front is standard and it filters out clients who were never going to commit.
