Graphic design proposal template

Design proposals lose money in two places: unlimited revisions and unstated usage rights. This template counts the concepts, counts the rounds, and says in plain language what the client may do with the finished files — so the price you quote is the price you are paid.

What the client is really deciding: "How many options do I get, and do I own the artwork?"

Section-by-section structure

Project summary

The brand, the audience, and what the design has to accomplish. One paragraph the client would recognise as their own brief.

Deliverables

Countable and specific: three logo concepts, one developed direction, primary and secondary marks, colour and type system, and final files in named formats.

Concepts and revision rounds

State the number of initial concepts and how many revision rounds each stage includes. Define a round as one consolidated set of feedback from one decision-maker.

Usage rights and ownership

When rights transfer, what happens on final payment, and whether you retain portfolio rights. Broad, exclusive, or extended licensing is priced separately.

Timeline

Concept presentation, feedback window, refinement, and delivery of production files. Attach each date to a feedback deadline.

Investment

Three tiers — core mark, full identity, or identity plus applications. Include the hourly rate for work beyond the included rounds.

Next step

Accept, pay the deposit, and book the kickoff. Note that work starts when the deposit clears, not when the proposal is accepted.

How to price this work

Pricing modelBest whenTypical range
Fixed price by deliverable setDefined identity or collateral work$800 – $8,000
Tiered packagesClients weighing scope against budget3 tiers, ~1.6x apart
Day rateOngoing or loosely defined production$400 – $1,200/day

Ranges are general market guidance, not a quote — price against the outcome for your client.

Mistakes to avoid

  • Unlimited revisions, which turns a fixed fee into an hourly loss.
  • Silence on usage rights, so extended licensing is never billed.
  • Presenting concepts before the deposit clears.
  • Accepting feedback from a committee with no named decision-maker.
  • No file-format list, so 'final files' becomes an ongoing request line.

Frequently asked questions

How many logo concepts should I include?

Three at most. More concepts signal uncertainty and multiply the revision surface without improving the outcome.

Should I charge for the discovery phase?

Yes, and name it. Discovery is where the strategic value sits, and pricing it separately makes the rest of the proposal easier to justify.

What if the client wants the source files?

Offer them as a priced add-on with the rights transfer spelled out. Do not include them by default.
