Landscaping proposal template

Landscaping proposals are won on clarity about materials and weather. The client wants to know what is going in the ground, who hauls the debris, and what happens if it rains for a week. This template answers all three before the price appears.

What the client is really deciding: "What exactly gets installed, and what happens if the weather turns?"

Section-by-section structure

Site summary

Property size, the areas in scope, current condition, drainage or grade issues, and access constraints for equipment.

Scope of work by area

Break the property into zones — front bed, side yard, patio, rear lawn — and list the work per zone. Zone-by-zone scope is what prevents 'while you're here' requests.

Materials and plants

Named species and sizes, hardscape materials, quantities, and who supplies them. Note substitutions policy for plants that are unavailable at install time.

Site preparation and cleanup

Demolition, debris haul-away, grading, and protection of existing features. State explicitly whether disposal fees are included.

Schedule and weather

Start window, crew days, and a clause that weather delays shift the schedule without changing the price.

Warranty and maintenance

Plant warranty period and its conditions, plus an optional maintenance plan priced monthly or seasonally.

Investment

Total with a materials and labour split, deposit amount, and the change-order rate for added work.

How to price this work

Pricing modelBest whenTypical range
Fixed project priceDefined install with measured areas$1,500 – $30,000
Per square footSod, paving, and mulch workRate x measured area
Seasonal maintenance planOngoing upkeep after install$150 – $800/mo

Ranges are general market guidance, not a quote — price against the outcome for your client.

Mistakes to avoid

  • No plant substitution clause, so nursery shortages become your problem.
  • Debris disposal left unstated and absorbed into your margin.
  • A firm completion date with no weather allowance.
  • Warranty promised without watering conditions attached.
  • No deposit, so material costs are financed by you.

Frequently asked questions

Should the proposal include a design drawing?

Include a simple zone plan, not a full design. Detailed design is its own paid phase and giving it away removes your strongest upsell.

How large a deposit should I ask for?

Enough to cover materials, commonly a third to a half. Say what it covers so it reads as logistics, not distrust.

How do I handle change requests mid-install?

One line in the proposal: added work is quoted as a written change order before it starts. Verbal additions are how landscaping jobs lose money.
